Here are some FAQs to help you deal with common validation errors you may get when uploading your Single Data Return (SDR) or Indicative Return (IND) files.

How do I edit data in my SDR upload files (.CSV) without losing the leading zeros?

DXP Ngā Kete will accept values in date columns without a leading zero. To retain the leading zero in other columns:

  • Use Excel to open the .CSV file.
  • Click Do Not Convert. 

If the Do Not Convert pop-up doesn’t appear, update your Excel settings:

  • Click on File then select Options (bottom left of your screen).
  • Select Data.
  • Untick “Remove leading zeros and convert to a number”.

What do I do if I get an “Unknown Error” message when uploading my SDR .CSV files?

If you get an Unknown Error, please contact us straight away on 0800 301 601 or customerservice@tec.govt.nz. We’ll investigate and let you know how to respond, including any data fixes you need to make.

Some common data errors that cause an Unknown Error message when you upload or submit include:

  • National Student Numbers (NSNs) that contain characters, eg, “N/A”, or that have a trailing or leading space, eg, “1234567”.
  • Iwi Affiliation code 5000 – this is no longer a valid code. Please use 4444.
  • Country of Citizenship codes HKG and MAC – these are no longer valid. Please use CHN.
  • NameIdCodes that contain non-ASCII characters, for example characters other than A to Z, spaces ( ), or dashes (-).

Error 026 – How do I resolve a “Funding Category is not valid for Course Classification” error?

If you are a tertiary education organisation (TEO) recently approved for funding, the Funding Categories may not have been mapped to the provider in DXP Ngā Kete. Contact our Customer Contact Group on 0800 301 601 or customerservice@tec.govt.nz for resolution.

Error 037 – Why is my course code not on the Course Register file?

Ensure the course is in the Course Register. Every unique course in the Course Enrolment file should appear once, and once only, in the Course Register file.

Error 305 – How do I resolve an “Open course change requests for this course code already exist” error?

Any pending course changes that have not been processed need to be actioned by the Tertiary Education Commission (TEC) before reporting against them. Please contact us at 0800 301 601 or customerservice@tec.govt.nz to let us know that you have submitted a change request.

Error 337 – Course difference – Why is my course not on my Course Register?

There may be several reasons a course is not appearing on your Course Register.

  • If it is a new course waiting for approval, check the status in the Course Register.
  • If it is a course you have previously closed by mistake, submit a course change request to submit it as a new course.
  • If the course is in your Course Register but the course dates in COMP are outside the course dates in the Course Register:    
    • If the mistake is in the Course Register, raise a course change request.
    • If the mistake is in the COMP file, amend the dates in your SMS and re-upload your SDR.
    • If you cannot amend dates in your SMS, then make the correction in your COMP file, and re-upload your SDR files.

Error 391 – How do I resolve a “Student Course Completion indicator is 0 for more than three consecutive SDR periods” error?

Several issues can cause the 391 error:

  1. Student has a start date and end date in the Course Enrolment file, but no Student Course Completion indicator has been reported after 11 months.

    Solution: Report Completion indicator 2 (pass) or Completion indicator 3 (fail) in the current SDR. Update in your student management system (SMS) and re-extract your files.
  2. Message in the 391 error says one of the Student Course Completion indicators was missing in the last SDR rounds.

    Solution: Identify the student in the last SDR round and report Completion indicator 2 (pass) or Completion indicator 3 (fail) in the current SDR. Update in your SMS and re-extract your files.
  3. Completion indicator 0 (Still to complete course – valid extension or grade not yet available) is reported for the same learner, on the same course, three consecutive SDRs in a row (this can be over multiple calendar years).

    Solution: For SDR purposes, extensions cannot exceed 11 months. Report Completion indicator 2 (pass) or Completion indicator 3 (fail) in the current SDR. Update in your SMS and re-extract your files.
