The Key Information Set (KIS) makes key information available to learners so that they have access to consistent information about qualifications, and can make more informed tertiary education study decisions.

This page provides an overview of what you need to do to prepare for publishing the Key Information Set (KIS) on your website, and to initiate the deployment process.

Who publishes the KIS?

TEOs delivering SAC-funded qualifications at level 5 and above will publish a KIS for these qualifications. If you don’t deliver qualifications at level 5 and above you won’t be expected to implement the KIS on your website.

What information makes up the KIS?

The Key Information Set has two levels of information and a total of twelve fields.

  • TEO-specific qualification information - provides information about studying qualifications with your organisation. These fields include Entry requirements, Duration, Student fees, Government subsidy and Successful course completions.
  • National graduate outcomes information - provides national outcomes three years after the completion of a qualification (regardless of TEO). These fields include In employment, Earnings, In further study and On a benefit.

Options for publishing the KIS

TEOs have two options to choose from:

  1. The full KIS displays the KIS for all level 5 and above qualification pages on your website.
  2. The KIS button is a graphic which is located on all level 5 and above qualification pages and other key web pages, and ‘links’ to the centrally-hosted KIS.

Preparation required for publishing the KIS

Regardless of which option you choose, you will need to:

  • check that the data that will be displayed in the KIS is up-to-date
  • decide which delivery option you will implement
  • check any standard internal processes and approvals required
  • work through any other tasks required prior to publishing the KIS to your website.

Deploying the KIS

We will provide you with documentation containing the style guidelines for the design and implementation of the KIS, as well as the standard timeframes allocated to the deployment process. The tasks in the implementation plan only detail the touchpoints with us. You are responsible for any internal tasks you need to do to complete the implementation.

The following applies:

  • all TEOs’ Key Information Sets will be available through the KIS Data Service and displayed publically on a central website.
  • all TEOs need to complete the data check before the KIS Data Service is enabled (when information will be publically available)
  • all TEOs will need to display the KIS on their own websites.

KIS deployment timeframe

The deployment will be staged starting in October 2016 and we will engage with you to confirm your commencement date. The KIS is expected to be fully deployed across all TEOs by mid-2017.

Q. Where does the information for the KIS come from?

A. The TEO-specific qualification information is sourced via your Single Data Return and the STEO (Services for Tertiary Education Organisations), so it’s important the data you submit in the Qualification and Course Registers in STEO is accurate and in the right format. The national graduate outcomes information comes from the Ministry of Education. For more information about how the fields are sourced and calculated refer to the KIS Data Sources handout (PDF, 611 Kb).

Q. What information is published?

A. Please refer to the image of the Key Information Set webpage layout example on this page to view the information and fields published for a qualification.  

Q. What do I need to specifically check?

A. You will need to check and ensure your information in STEO is correct for these data fields: entry requirements, duration and fees.

You will need to check spelling, character limit (recommended 255 character limit), and that you do not include any special characters or formatting that can’t be used in the electronic exchange of data.

Q. Why are Level 1-4 qualifications not included?

A. Our initial focus is level 5 qualifications and above. Differing funding sources for the same qualification make it difficult to present a single set of information for qualifications at levels 1-4. We will review this following the deployment of the Key Information Set for levels 5 and above.

Q. How will we know when we have to start the process to design and implement the KIS?

A. You will be sent an email confirming your start date. Prior to your start date we will email you all the information to guide you through the process to implement the Key Information Set. We recommend that you complete the preparation tasks as soon as possible.

Q. What are the steps required to fully implement the KIS on our website?

Q. What happens if we don’t finish the implementation within the agreed timeframe?

A. Over the course of the design and implementation of the Key Information Set you will be communicating with the Sector Helpdesk. Any problems you have about meeting your timeframes should be discussed with them. You can call them on 0800 601 301.
