SDR Timetable

The following timetable lists extract and return dates for the SDR.

1–31 January 31 December previous year December SDR
  • Student, course enrolment and course register files for all learners enrolled in the current year:
    • Actual Equivalent Full-Time Student (EFTS) units consumed in the previous year (1 January to 31 December).
    • Forecast EFTS units for the current year and up to the next three years.
  • Course completion files.3
1–15 May 30 April April SDR
  • Student, course enrolment and course register files for all learners enrolled in the current year:
    • Actual EFTS units consumed as at 30 April (1 January to 30 April)
  • Course completion files
  • Qualification completion files.3

Note: SDR extensions may be granted in special circumstances.

1–15 September 31 August
  • Staffing return for staff employed during the week of 31 July
    Staffing returns can be returned from the week of 31 July and must be returned before submitting the August SDR.
August SDR
  • Student, course enrolment and course register files for all learners enrolled in the current year:
    • Actual EFTS units consumed as at 31 August
      (1 January to 31 August).
  • Course completion files
  • Qualification completion files.
1–31 January following year 31 December December SDR
  • Student, course enrolment and course register files for all learners enrolled in the current year:
    • Actual EFTS units for the current year consumed from 1 January to 31 December
  • Course completion files
  • Qualification completion files.

1The ‘return date’ is the date by which the TEO must send the files to the Ministry of Education. This date is usually two weeks after the extract date.

2The ‘extract date’ is the reporting date - the date on which data is extracted from the TEO’s Student Management System.

3Course and qualification completion files are only required from TEOs receiving Student Achievement Component funding.
